eDiscovery for South Florida Law Firms
For outside counsel who need a discovery partner that ships defensible productions on the schedule the court imposed, without pricing a boutique client out of the analytics that make review manageable. Flat-rate hosting. Bilingual review. Direct partner communication. The same standard of work from a five-lawyer boutique to Am Law 100.
What Law Firms Actually Need From a Discovery Partner
Discovery vendors are not scarce. The ones that make a difference at the litigation-partner level share a small set of characteristics:
- They ship on time. The court’s deadlines are the vendor’s deadlines. A production that is technically clean but two weeks late will still cost the firm a motion.
- They price predictably. A per-gigabyte structure with charges for analytics prices the boutique matter out of the tools that reduce review hours. Flat-rate hosting with analytics included lets the firm quote a client, defend a fee application, and not lose money on the engagement.
- They handle the languages the matter is actually in. A South Florida commercial docket that turns out to be forty percent Spanish and ten percent Portuguese cannot be reviewed by an English-only team with a machine translation pass.
- They produce a defensible record. Every collection, processing decision and production step is documented at the level a challenge requires, so the firm is not scrambling to explain the vendor’s work at a hearing.
- They pick up the phone. A discovery matter has questions every day. The firm needs to reach a project manager who knows the matter, not a ticketing queue.
How We Work Alongside Counsel
The engagement is structured to keep the work product privileged and the strategic decisions with counsel. Communications go through the retaining firm, not around it. Our project managers work directly with the partners and associates handling the matter, and calls are treated as attorney work product from the first conversation. Where a matter benefits from it, we brief in with the litigation team early on scope and cost implications so the ESI protocol negotiation happens with numbers rather than adjectives.
The line between our work and counsel’s work is deliberate. We handle the technical facts: which files existed, which accounts sent which messages, when data was accessed or deleted, which databases contain relevant records. Legal conclusions, privilege calls and case strategy belong with the firm. We do not author findings that could be read as legal advice, and our reports are structured to support the litigation team’s work rather than substitute for it.
Three Engagement Models
Different matters need different levels of vendor involvement. We work with South Florida firms in three configurations depending on what the matter calls for and what the firm has in-house:
1. Full-service managed discovery
We handle the matter end to end: preservation, collection, processing, hosted review with reviewers we staff, and production. The firm supervises strategy and privilege; we run everything else. This is the model for boutique firms without in-house discovery capacity, for matters that are outside the firm’s usual scale, and for complex cross-border discovery where the coordination burden is the actual work.
2. Hosted platform plus support
The firm’s own attorneys or paralegals run the review. We host the platform, handle processing and productions, and provide analytics, technical support and QC on demand. This is the model for firms that have internal review capability and want to control the substantive work while offloading the infrastructure.
3. Targeted engagement
The firm calls us for the specific piece of the matter that requires specialist work: a forensic mobile collection, a structured-data extraction from a property management platform, a bilingual review team for a portion of the population, a production QC pass before delivery. The rest of the matter stays with the firm.
Where South Florida Discovery Runs Different
Cross-border commercial matters
Colombian, Brazilian, Mexican, Venezuelan and Dominican Republic reach on discovery. Source mapping, foreign-privacy-regime scoping and bilingual review handled from Miami.
Complex commercial litigation
Circuit court complex business divisions across Miami-Dade, Broward and Palm Beach produce discovery volumes and timelines that need proper platform support and analytics, not spreadsheet-driven manual review.
Construction, maritime and land-use disputes
Project management platforms, vessel and shoreside systems, and municipal records that need structured-data extraction rather than document dumps.
High-net-worth probate and business disputes
Confidentiality-heavy matters where the discovery environment itself needs to meet the client’s privacy expectations, not just the court’s.
Predictable Flat-Rate Pricing
Hosting, analytics, threading, near-duplicate identification, active learning and standard reporting are included in the flat rate. There is no separate charge to turn on the features that reduce review hours. That structure matters more in South Florida than it sounds, because Miami litigation boutiques and solo practitioners regularly handle matters with real document volume and no institutional discovery budget, and a per-gigabyte model with feature gating prices them out of the tools they need. Predictable cost also gives counsel a defensible cost-recovery narrative for a prevailing-party fee motion.
Standards and Standing
Every collection, processing decision and production step is documented against EDRM and Sedona Conference principles. Hosting environment maintained against SOC 2 criteria. HIPAA business associate obligations supported where a covered entity’s data is in scope. Chain of custody documented from source to production and defended by the project manager who ran it.

Bring a Matter Before It Bottlenecks
The earlier we see a matter, the more scope leverage counsel has. Whether it is a preservation order that just landed or a production you inherited from another vendor, the first conversation is worth having.
